Pyrometer Equipment Company, Inc. (“PECO,” “we,” “us,” or “our”) operates the PECO Scheduling System to manage calibration services, Temperature Uniformity Surveys (TUS), and System Accuracy Tests (SAT). Questions about this Policy can be directed to the contacts listed in Section 13.

2. Information We Collect

2.1 Account & Identity Data

• Name, business email, username, role/permissions, department
• Employment/contractor status and manager/supervisor (where applicable)

2.2 Operational & Job Data

• Customer information and contact details necessary to perform services
• Furnace/equipment identifiers, locations, due dates, certificates, and reports
• Scheduling details, technician assignments, notes, and attachments

2.3 System & Security Data

• Access logs (timestamps, IP address, device/browser metadata)
• In-app actions (create/edit records, login attempts, permission changes)
• Diagnostic/error logs and performance metrics

2.4 Limited Cookies/Local Storage

We may use session cookies or local storage for authentication, session continuity, and security (e.g., CSRF tokens). No advertising cookies are used.

3. How We Use Information

• Provide, secure, and maintain the System (authentication, audit logging, incident response)
• Schedule and manage calibration, TUS, and SAT activities
• Generate documentation and service reports (including NIST traceability references)
• Coordinate technicians and customer communications
• Comply with legal, accreditation, and audit obligations (e.g., ISO/IEC 17025, customer requirements)
• Analyze usage to improve reliability, performance, and user experience

4. Legal Bases / Business Purposes

We process information to perform our contractual/business obligations, to comply with law and accreditation requirements, and for our legitimate interests in operating a secure, efficient internal system. Where applicable law requires consent (e.g., certain cookies), we will obtain it.

5. Sharing & Disclosure

• Internal recipients: PECO personnel with a legitimate need (role-based access only).
• Service providers (“processors”): IT hosting, email, logging/monitoring, backup, and support vendors under confidentiality and data-processing terms.
• Customers: Limited schedule/status information may be shared when necessary to perform services or if a read-only customer view is enabled.
• Legal/Compliance: Where required by law, regulation, court order, or to protect safety, security, and rights.

We do not sell or rent personal information.

6. Data Security

We employ administrative, technical, and physical safeguards appropriate to the sensitivity of the data (e.g., access controls, least-privilege roles, credential hygiene, encryption at rest/in transit where supported, logging/monitoring, and regular backups). No system can be 100% secure; see the Terms for related disclaimers and limitations.

7. Data Retention

We retain information for as long as necessary to operate the System, meet contract and accreditation requirements, maintain service histories, and satisfy legal obligations. When data is no longer needed, it is deleted or anonymized per internal retention schedules. Access may be revoked immediately upon employment/contract end; copies must be returned or destroyed.

8. Your Choices & Rights

• Access & Correction: You may review and request correction of account information and job records you are authorized to manage.
• Objections/Restrictions: Where permitted by law, you may object to or request restriction of certain processing; operational needs or law may limit these requests.
• Deletion: Certain records (e.g., job logs, certificates) may need to be retained for legal/audit reasons; otherwise we will delete or de-identify where feasible.
• How to exercise: Contact PECO via Section 13; we will respond consistent with applicable law and internal policy.

9. International Transfers

Systems and data are primarily hosted in the United States. If data is processed outside your region, we implement appropriate safeguards required by applicable law.

10. Children

The System is not intended for or directed to children. No one under the age of 16 is permitted to use the System.

11. Links, Integrations, and Third-Party Content

The System may link to or integrate with third-party services used for business operations (e.g., email, file storage). Their privacy practices are governed by their own policies; access is controlled by PECO administrators.

12. Incident Reporting

If we discover unauthorized access to or disclosure of data, we will investigate and, where required by law, notify affected parties and/or authorities without undue delay. Users must promptly report suspected incidents to PECO IT or Security.

14. Changes to This Policy

We may update this Privacy Policy from time to time. Material changes will be communicated via the System or email. Your continued use of the System after the effective date constitutes acceptance of the updated Policy.

15. Definitions

• “System” means the PECO Scheduling System and related interfaces, services, and tools.
• “Personal information” means any information that identifies or can reasonably be linked to an identified person, as defined by applicable law.
• “Processor” means a third-party service provider that processes data on PECO’s behalf under instructions and contract.
